n8n vs Zapier vs Make: Which Is Best for Small Business (2026)

Short answer: Choose Zapier if you want the simplest setup and the biggest app library, Make if you need branching logic and many steps on a tight budget, and n8n if you want self-hosting, data control or custom AI agents. For a typical small business running a few simple workflows, Zapier or Make gets you live fastest. n8n becomes the better value when volume grows or you have someone technical to run it.
All three tools connect your apps so that work happens without copy and paste, for example sending a new website enquiry to your CRM and alerting your team. The real differences are how they bill you, how much skill they expect and what happens to your cost when you automate more. This comparison uses entry prices checked in October 2026 and our own hands-on view of small business use.

Entry plans and pricing at a glance
Prices below use annual billing and were checked on the vendor pricing pages in October 2026. Plans change often, so confirm on the official pages for Zapier, Make and n8n before you commit.
| Tool | Free option | Paid from | Billing unit | Self-hosting |
|---|---|---|---|---|
| Zapier | 100 tasks per month | $19.99 per month (Professional, 750 tasks) | Tasks | No |
| Make | 1,000 credits and 2 active scenarios | $12 per month (Core, 10,000 credits) | Credits | No |
| n8n | Self-hosted Community Edition | EUR 20 per month (Starter, 2,500 executions) | Executions | Yes |
Higher plans follow the same pattern. Zapier Team starts at $69 per month. Make Pro is $21 and Teams is $38 per month. n8n Pro is EUR 50 per month for 10,000 executions. The headline price is not the whole story, because each tool counts usage differently.
What counts as usage in each tool?

- Zapier counts tasks. A task is an action a Zap completes successfully. Triggers, filters and formatter steps do not count, so a Zap with four action steps uses up to four tasks per run.
- Make counts credits. Scenarios are built from modules, and running modules uses credits from your monthly allowance. More modules in a run means more credits used.
- n8n counts executions. One execution is one full run of a workflow, however many steps it has. A 20-step workflow run counts as one execution.
This is why a long workflow that looks cheap on Zapier can become expensive at volume, while the same workflow on n8n costs the same per run whether it has five steps or fifty. Compare the cost per workflow, not the headline price.
A real example: new lead to CRM and alert

Imagine a visitor fills in your contact form. The workflow summarises the enquiry with AI, creates a contact in your CRM with the summary and sends you an email or Slack message. The same workflow can be built in all three tools:
- Zapier: about three tasks per lead, one each for the summary, the CRM record and the alert.
- Make: credits for each module that runs, so the total depends on how many modules you use.
- n8n: one execution per lead.
At 100 leads a month, Zapier would use roughly 300 tasks, which fits inside its 750-task Professional plan. At 2,000 leads a month the maths changes, and that is where Make and n8n usually save money.
Zapier, Make and n8n compared
Zapier: easiest to start
Zapier has the largest library of app connections and the gentlest learning curve. You can have a working automation in about half an hour with no technical skills. The cost is that branching logic is more limited and the price climbs fastest as task volume grows. It suits owners who want something running today.
Make: visual and flexible
Make shows your workflow as a visual map, which makes routers, filters and loops easier to understand than in a linear list. Its entry price is the lowest of the three, and it handles complex logic well. The learning curve is steeper than Zapier, and credit usage needs watching on long scenarios.
n8n: self-host and control
n8n is the most flexible. You can run it on your own server, keep data in-house, write code inside a workflow and build AI agents that call tools. That flexibility comes with more setup and maintenance, so it fits technical teams or a business with a developer on call. The self-hosted Community Edition is free to run, but you pay for the server and your time.

The scorecard above is our own assessment for small business use, not a lab benchmark. Zapier wins on ease of getting started, Make and n8n win on complex logic, and n8n wins on cost at higher volume, self-hosting and AI agent flexibility.
Which tool should you choose?

Answer three questions in order:
- Do you want it running in 30 minutes with no technical skills? Choose Zapier.
- Do you need branching logic or many steps on a tight budget? Choose Make.
- Do you need self-hosting, data control or custom AI agents? Choose n8n.
Still unsure? Start on a free plan and move later if you outgrow it. Workflows are small enough that rebuilding one in another tool usually takes hours, not weeks.
A practical example is a store that needs automatic shipment tracking emails in WooCommerce.

Frequently asked questions
Is n8n really free?
The self-hosted Community Edition is free to use, but you pay for hosting and maintenance. The cloud plans are paid, starting at EUR 20 per month at the time of writing.
Is Make cheaper than Zapier?
At entry level, yes. Make Core is $12 per month for 10,000 credits, while Zapier Professional is $19.99 per month for 750 tasks. The units are different, so test your actual workflow before deciding.
Which tool is best for AI automation?
All three can call AI models. n8n gives the most control for custom AI agents, while Zapier and Make are quicker for simple jobs such as summarising an enquiry or drafting a reply.
Can I switch later?
Yes. Workflows do not transfer automatically, but small business automations are usually quick to rebuild, so starting on the easiest tool is a low-risk choice.
Do I still need a chatbot if I have automation?
They do different jobs. Automation moves data between apps, while a chatbot talks to visitors. Many sites use both, and our guide to an AI chatbot for WordPress shows how to add one.
